BRIEF EXPLANATION ON PAN ASIA MATTERS

To all PAH participants,

First of all, thank you for the our compliments and criticism towards me and my team. I admitted that we were very shorthanded for this event, especially on Saturday 6th. Following were the plans for all the events and brief explanations on what had transpired.

1) REGISTRATION:

Plan
The plan was to have 8 persons to do the registration (4 for group and 4 for individuals).

Actual happening that took place
On the registration day we had only 4 persons turned up for registration and got help from other hash volunteers who were very helpful.
The printers unexpectedly went down and created more issues with printing that created more delay and queuing time.

Impact
Delayed registration and people became impatient and furious. All participant were registered despite the long wait and received their goodies.

2) GOODIES BAG:
Plan
All participants were advised to check and confirm their t-shirt sizes several times before the actual event kicked off. And those who wanted to transfer their registration to the new persons, should have done the changes much earlier, not at the last minute.

Actual happening that took place
On the registration day and during the collecting of goodies bag, most of the hashers requested for change the sizes of T shirts. Our committee refused to entertain them but was scolded by them so the committee gave in whenever there was no other choice.

Impact
Delayed the process of collection of goodies bag and it was unfair to those late comer who couldn’t collect their requested size.

3) TRANSFER FROM AIRPORT TO ROYAL TWINS PALACE HOTEL, PATTAYA WITH RETURN.

Plan
As promised during the bidding at Bandung, we had prepared sufficient number of buses for hashers from both airport (Suvarnabhumi and Don Mueng airport) to Royal Twins Palace Hotel, Pattaya only on 5th July 2013 (Friday). And return from Pattaya to both airports in Bangkok only on 7th July 2013.

Actual happening that took place
No major issues.

4) RED DRESS RUNS ON 5TH JULY

Initial Plan
The run was 5km but the route was forced to change by the local authority due to traffic matters. There were supposed to have two water stops in between with a small circle (with ice block) and at the finishing point.We targeted for 2000 participants.
Circle was conducted at the finishing point. Only 500 participants registered and due the lengthy red dress run, many hashers were complaining. It was beyond our control to keep the run within 5 km. 

5) WELCOME DINNER ON 5TH JULY

Initial Plan
All participants were required to put on their name tags as entrance pass.

Actual happening that took place
Some participants who were late for registration and went straight to the welcoming dinner place. The caterer proposed a sticker on each individual as an entrance pass. Some participants came in to collect stickers on behalf of their groups, but according to the caterer there were extra people during the dinner (from the stickers provided to hashers who missed the registration). The head counts were more than expected. We were forced to pay an extra of 400 head count at the rate of 600THB each.

Impact
There was too much of leftover food. Some non hashers  escaped the check and went in for the dinner. They are lack security. In the original agreement with event organizer, they promised control but was unable to handle the huge crowd. The event organize lack control and caterer was dishonest.

6) GM’s MEETING ON 6TH JULY

Initial Plan
In order to avoid double entry from each chapter, only registered representative from each chapter was allowed to bid for next 15th Pan Asia Hash.

Actual happening that took place
At the last minute, some hashers argued and wanted to represent for their chapters but only registered GM’s from each chapter was allowed accordingly. This created a lot of unhappiness among them and things were not going too well.
Bidding process was too long. In near future, MHC chairman proposed more laptops to be used for smoother process.
There wasn’t any double entry from each chapter and all went through smoothly. Four bidder from from Kuching City Hash (19 votes), Penang joined chapters (22 votes), Padang Indonesia (22 votes) and Chennai Hash (64 votes). Next 15th Pan Asia Hash will be hosted by Chennai Hash in India.
FYI : A cordless microphone was missing and we were forced to pay for it at the cost of 15000THB.

7) RUNNING TRAILS ON 6TH JULY

Plan
There were two separate run sites which were recced by our Pattaya and Malacca committee members. Several other chapters (appointed committee) had promised to be in charge of all circles and sweepers (Trail master or circle master). All run trails were well marked by printed papers which indicated the type of each run. Those who completed their ball breaker run would be entitled for an additional free t-shirt which we had prepared 300 pieces but only 287 registered.

Actual happening that took place
Unfortunately at very last hour, we were advised by the local authority to use only one run site instead of two due safety reasons. Most of the appointed committee went in the trails together with all the hashers instead of standby for the circle. Before the start of medium and short runs, it was raining heavily at all the run sites. This had caused the papers to be washed away.  We were also informed that some trails paper was neatly picked up and thrown into the bush (found and was informed by some other chapters). This is a very ill intended. Not many participant actually completed the ball breaker run yet most of them claimed for t-shirt. To be fair our responsible crew collected the individual number tag and exchanged it with the t-shirt. Some non ball breaker runners also made their claim even though without number tags. Those who really ran for it demanded for their t-shirt. We had no choice but to reprint more t-shirts.

Impact
There were too many hashers running for short and medium trails and the starting points were changed at very last hour to cater the total numbers of participants at one venue ( as advised by the local authority). The paper trails were washed away by heavy rain which caused the short runners couldn’t find the trail. According to one of the sweepers (a hasher from Pattaya who knew the trails very well), hashers didn’t want to listen to his instruction or explanation they went on their own ways. Besides, lack of manpower too had worsened the situation. Some hashers who couldn’t find the paper went on their own trails (SCB) and missed the trails. Those who went missing managed to return to hotel safely by themselves without informing us. Search party was deployed and in actual fact most of my crew were scattered at run trails to look for them. We ended up searching at until 2am and the ranger stayed back tills 9 am. We were informed this by the police the next day when I was there at police station to give my statement on those missing hashers.
 

8) DINNER AT STADIUM ON 6TH JULY

Plan
Dinner supposed to start at 6:30pm with various local authentic food stall which would cater for 3800 participants

Actual happening that took place
Due to early arrival of most hashers, they demanded to start the dinner early. Those who arrived early demanded the meals be served while the caterers were still preparing the food. Food was not enough for those who arrive later and this caused them to turn violent and angry. Because of the commotion created by the hashers, the caterers left for fear of the unforeseen circumstances.
Caterers didn’t manage to prepare complete meals which they were supposed to. Most caterers were too afraid to stay on and they decided to leave the stadium (for safety reasons). Crates of beer were carried away by hashers. And appointed agents and MCs were too afraid to continue the planned events for the night. The situation was uncontrollable. Most of my crews were at the run site with me together with the search party (police force and rangers) until 2am.

This second day event was unsuccessful because of the commotion created by certain unsatisfied  groups of hashers and didn’t manage to continue the next agenda which was planned.

9) HANGOVER RUN ON 7th JULY

Plan
A short run as it’s from beer recovery.

Actual happening that took place
It was supposed to be flag off by me which didn’t take place because I was at the police station to give statement on those missing hashers. Finally it was flagged off by my crew and it was a short run, about 3 km trails in the city itself.
Not many participate for the run except for the lunch estimated about 700 participants. Hotel proposed to hand out coupons to those who wanted to have lunch; some of them took the coupons but didn’t turn up the lunch. The hotel insisted on extra charge for those who went in without coupons though the food which was catered was enough. The charge us an extra of 150 participants at the rate of 300THB each person
The handover of the next 15th Pan Asia Hash to Chennai Hash 2015 without a hitch. Some hashers managed to depart to Bangkok airport by free bus.

Lastly, as an OC, I have explained on my part on what had actually taken place and I leave it to all of you to judge it. After the PAH, a lot of unfounded accusations had been hurled to me. I admitted the flaws on my side but it was not a total failure from the beginning. The registration and distribution of goodies were carried out quite well but with slight problems. The Red Dress run and the welcoming dinner on Friday were carried out successfully. The bidding for the next Pan Asia went as plan and the Sunday’s events went well.
I was judged by the grave misfortune that happened on Saturday alone and I accepted it wholeheartedly. Last but not least, fellow hashers, once again I truly apologize for the anxiety, frustration and inconvenience that I caused especially on Saturday’s event and I hope that my apologies are accepted sincerely.
